Legal Software: Buy, Configure, Integrate or Build?
Choose the smallest change that solves your firm’s actual workflow, with a clear operating and exit plan.
The planning answer
Start by testing one complete staff-and-client journey in your current tools. Compare configuration, an integration, an available product and a custom build against the same acceptance checks. A custom system is worth evaluating when essential requirements remain unmet and the firm can fund and operate it. A feature count alone is not a purchasing decision.
Engineering guidance with fictional examples and proposed acceptance checks. Adapt it with your firm’s responsible technical and legal professionals; it does not establish legal compliance or report client results.
Define the job before comparing suppliers
For a Mohali practice, the first problem might be an enquiry arriving without enough information, repeated document requests or unclear client updates. Name the user, trigger and completion state. Separate public website information from private matter records: a new website may solve the first problem without replacing practice software.
Bring an anonymized example to a local or online discovery meeting. List the steps staff perform today, the exceptions they handle manually and the information clients should see. Confirm whether English, Punjabi or Hindi is required for that particular journey; translated navigation is different from approved legal content.
The UK Government Digital Service’s purchasing guidance recommends assessing user needs and the choice to build, buy or combine approaches. It is a useful engineering reference here, not a legal or procurement requirement for Indian law firms.
Compare four approaches against the same workflow
| Approach | Worth considering when | Evidence to request |
|---|---|---|
| Configure current software | The underlying permissions and records already fit | A demonstration using your agreed scenario and an export sample |
| Connect existing tools | The missing step is an authorized transfer or notification | API access, field mapping, failure handling and reconciliation |
| Buy a product | Standard workflows meet essential needs | A trial covering client access, staff exceptions and cancellation/export |
| Build custom software | Critical requirements remain unmet after evaluating alternatives | An agreed prototype, acceptance checks, operating plan and handover |
Do not assume that a ready-made product lacks local billing, language support or suitable hosting. Check the current product and contract. Likewise, source-code ownership does not eliminate hosting, maintenance, provider charges or the work of replacing a supplier.
Worked example: one document-request journey
Consider a fictional four-person practice using a shared drive and a calendar. The proposed first release lets assigned staff request a file, lets the intended client upload it, and records a staff review. It does not automatically include billing, research, court updates or a mobile app.
Run the same scenario through each shortlisted option. Include the wrong client opening a link, a staff assignment changing, an upload failing and an approved file being replaced. Record whether the product handles each case directly, needs configuration, requires integration or cannot meet the requirement.
If the current tool passes these checks after configuration, a replacement may add cost without solving a new problem. If access or publication rules remain impossible to implement, a focused portal may be justified. This example is a decision method, not a Digittrix client result.
Build an INR cost comparison without invented package prices
| Cost category | What to ask each supplier |
|---|---|
| Initial work | Discovery, configuration or build, content, migration and testing |
| Recurring operation | User licences, hosting, storage, backups and support |
| Usage and integrations | Messages, video, payment transactions and provider APIs |
| Change and exit | New features, exports, documentation and transition assistance |
| Taxes and assumptions | Applicable taxes, currency, user counts and document volumes |
Use the same comparison period, volumes and first-release scope for every option. Request a written INR quote rather than treating a sample table as a price. Digittrix’s Mohali legal projects use scope-specific quotations; the agreed proposal records inclusions, exclusions and milestones.
Decide what handover and support mean
For Digittrix custom legal projects, the client owns the custom project source code and receives six months of technical support. Record the support start date, covered issues and contact route in the proposal. Third-party licences, hosting and additional features need their own explicit treatment.
Request repository access, build and deployment instructions, configuration documentation and a list of accounts your firm controls. Confirm how credentials will be transferred securely. Separate source-code delivery from domain, cloud, app-store and payment-provider account ownership.
Agree who handles access changes, backup operation, restoration and provider outages. Test a representative export and restoration before acceptance. Record unresolved limitations and the conditions under which the firm would pause or reject a launch.
Leave discovery with a decision record
- The first workflow, user roles and language requirements.
- Alternatives considered and the reasons for the selected approach.
- A demonstration or prototype plus agreed acceptance checks.
- An INR cost breakdown, assumptions and exclusions.
- Ownership, support, hosting and an exit or handover plan.
