Event platform planning guide

Custom Event Software or a Ready-Made Platform?

Decide whether to configure an existing event product, connect your current tools or build custom event management software around a distinct workflow.

The short answer

Use an existing event platform when its registration, ticketing, branding, data exports and support fit your events. Consider integration work when one handoff is missing. Evaluate custom development when important booking rules, organiser operations or the attendee experience cannot be supported economically by the available tools.

Start with the work your team must complete

Write down the complete event journey: publish, register, collect payment, confirm attendance, communicate changes, admit guests and reconcile results. For each step, name the person responsible and the record they need.

A workflow gap might be a missing refund status between two systems rather than a need to replace the whole platform. Distinguishing the gap from the proposed solution can reduce unnecessary development.

Four practical starting points

Starting pointWhen it fitsWhat to verify
Configure an existing productStandard registration and ticketing with supported branding and reporting.Fees, export access, cancellation terms, support and account ownership.
Build an integrationYour tools work, but data or actions do not move reliably between them.API access, rate limits, record ownership, retries and reconciliation.
Add a branded web or app experienceThe attendee journey needs custom design while the existing backend remains useful.Authentication, API coverage, notification needs and offline behaviour.
Build a custom platformDistinct booking rules, organiser permissions or marketplace operations are central to the business.Full operating budget, maintenance ownership and evidence that the release can support an event.

Test your hardest scenario before choosing

Ask each supplier to walk through the same realistic examples. Can an organiser transfer a ticket without breaking its history? What happens when a payment succeeds but the confirmation is delayed? Can entry staff identify a cancelled ticket? Can one organiser export another organiser’s attendees?

A demonstration should show the exception path as well as the happy path. Request a sandbox or walkthrough with representative data where possible. A feature tick on a comparison table does not establish how the feature behaves.

Compare total ownership, not only the initial quote

  • Document setup, subscription, per-ticket or transaction charges and the fees of external providers.
  • Check which records can be exported, in what format, and whether exports require a higher plan.
  • Confirm repository and cloud-account access for a custom build, subject to third-party licences.
  • Identify who handles incidents, dependency updates, backups and access changes.
  • Check what happens to tickets, attendee history and integrations when you change suppliers.

Choose a website or mobile app for a reason

A responsive website can support discovery, registration and digital passes without asking attendees to install an app. A mobile app may be worthwhile for repeated engagement, device capabilities or an agreed offline workflow.

Offline functionality needs more than cached screens: define which records are available, what actions are permitted, how queued changes are reconciled and what staff do when devices disagree. Choose the platform after these needs are clear.

Make the decision reviewable

Record the must-have workflows, alternatives evaluated, unresolved gaps, costs and responsible owners in a short decision document. If a configured product meets the requirements, custom work may not be justified.

If custom development is appropriate, begin with one complete event journey and measurable acceptance criteria. Expand after the first release has demonstrated the intended behaviour.

Put the guidance into practice

Worked example: connect a missing refund handoff

Imagine a conference team whose current ticketing product already handles registration, payment, email confirmations and connected check-in. Its CRM still shows refunded guests as attending. The team needs reliable refund status in the CRM, not a new attendee app. This is a fictional decision exercise, not a review of a named vendor.

Treat refund-state accuracy, controlled access and an exportable audit trail as must-haves. First inspect whether the existing product can configure the handoff. If it cannot, investigate its API and notification support before estimating integration work.

OptionEvidence to requestDecision in this scenario
Configure existing toolsA sandbox demonstration that refund status updates the correct CRM recordPrefer this if the supported configuration meets the must-haves.
Build a targeted integrationDocumented APIs, stable record IDs, verified notifications, retry handling and reconciliationEvaluate this if configuration cannot close the gap.
Build a custom platformEvidence that core event workflows cannot be supported by either option aboveNot justified by the single stated gap alone.

A provisional choice would be to retain the ticketing product and investigate configuration, then an integration if needed. Acceptance should demonstrate a refund updating the correct guest, a repeated notification leaving one final state, and a missed update being found by reconciliation. API access, provider terms and costs remain decision gates. The worksheet records evidence for each must-have and leaves the final choice to the team.

Event platform comparison worksheet

A requirement-by-requirement comparison of configuration, integration and custom development, with evidence fields, status dropdowns and a decision record.

  1. Replace the starting requirements and mark each as Must or Optional.
  2. Enter evidence and an owner before changing an option from Not checked to Meets.
  3. Resolve mandatory gaps, compare the complete operating cost and record your decision and next check.
